Q. If I'm a new troop, how do I get registrations?
A. Contact the Service Unit Registrar or your Level Organizer and you will be provided with a new troop registration packet. It will include blank girl forms, blank adult forms, blank dues summaries and GSCSNJ Membership Deposit slips.

Q. Once I have forms, what steps do I need to take to register or re-register my troop?
A. Hold a parents meeting or reserve the first 10 minutes of one of your regular meetings to have parents fill in registration forms.
Have the parents fill out the forms for both themselves and the girls and pay $12 for each registration to the troop.
Be sure you register yourself and your daughter as well.
Check over the forms to make sure that they have filled in all important information, including emergency contact name and number and that they have signed the form.
Deposit all the money into your troop account and wait for any checks to clear.
Write a check to GSCSNJ and use the Membership Deposit slip to deposit it into the TD Bank account.
Submit all registrations, a copy of the deposit slip and a completed dues summary to the Service Unit Registrar.

Q. Why should I have parents fill in registrations at my meeting? Why can't I just send the forms home with them?
A. A. Filling out a registration form takes less than 5 minutes, there is no need for the parents to bring them home. Generally when they do, they either forget to bring them back, lose them, or in many cases they come back illegible, stained, or destroyed.

Q. I have most of my girls forms, but I'm waiting on two more before I hand them in. Is that ok?
A. A. No, you should hand in whatever forms you have as soon as you possibly can. It is never a good idea to hold up your whole troop for one or two registrations.

Q. What if the parent does not have the money at the time the registration is filled out?
A. Still have them fill out the form and return it to you. If you are an existing troop, submit the form with the rest of them and use troop funds if available to cover the registration fee and follow up with the parent later. Do not hold off on submitting your entire troop just to chase down one parent for $12.

Q. What if they can't afford to pay for registration?
A. If it is a case of financial hardship, you can simply short the GSCSNJ deposit and make note on the Dues Summary that one of the registrations is being paid via Council Cares. Make sure the numbers in "Total amount of dues attached" reflects the actual amount of the deposit. Make a notation of "CC" on the individual girl registration, and put the number of Council Cares recipients under "Other" on the Dues Summary followed by -CC (Example: 2-CC for two girls)
Note: You do not need to fill out or include a Council Cares form for registration assistance.

Q. How do I get blank forms?
A. Forms are available through the Service Unit Registrar and at the East Brunswick Service Center. You can also get blank forms at Leaders' Meetings. If you need a large number of blanks, please contact the Service Unit Registrar before attempting to pick them up.

Q. How do I get more deposit slips?
A. You can get them from the East Bruwnswick Service Center, at Leaders' Meetings or you can send a request to the Service Unit Registrar to make other arrangements.

Q. Can I use a regular deposit slip from the bank if I don't have the pre-printed ones?
A. If you choose to you can use a regular bank deposit slip to deposit funds into the Membership Account ONLY if you write "EWAGS Troop ##### - Registrations" somewhere on the deposit slip. You must also note the troop number on the receipt that you hand in with your registrations. If you do not note the Service Unit and the troop number on ALL banking paperwork and your deposit gets lost, Council will bill you for the total of registrations your troop submitted. Each leader by now should have a pre-printed deposit slip from a previous deposit, so you already have the bank account information in your possession. Do not ask for the bank account number in email, that type of sensitive information will not be sent to you in an email.

Q. Do I have to deposit the funds? Can't I just include a check?
A. No, it is the responsibility of the leader to deposit the funds from the parents into the troop account, and then write a troop check and deposit it into the GSCSNJ Membership account at TD Bank. Registrations that include checks will be returned to the leader.

Q. If a parent gives me cash, can't I deposit that into the GSCSNJ account?
A. For record keeping purposes, no, you should always make the deposit to your troop account first and deposit a troop check into the GSCSNJ account.

Q. The dues summary is confusing, how should I fill it in?
A. Common mistakes and questions on dues summaries are as follows:
  • Fill in the upcoming end of school year at the top right corner where it says "Through 9/30/09". For example, if today is March 23rd 2009 and the registrations pertain to girls participating through June 2009, then put "09". If the registrations pertain to girls participating come September through to June of 2010, then put "10".

  • Repeat the above for the "Expiration 9/30/"

  • Council Code is 131.

  • Troop Number is your full troop number, starting with 7####.

  • ALWAYS check the "Reregistering" circle. This pertains you're your troop number and its life within the Service Unit, NOT the girls you are registering.

  • Report Code is 727.

  • Registration Area should be "EWAGS".

  • Meeting Day and location: Please fill in COMPLETELY. Do not use abbreviations for locations, we may know that WCB means Walter C. Black but GSCSNJ has no idea what that means. If meeting in a school, please specify the room you are using.

  • Total Registrations at $12 is the total number of registrations that you are submitting, not the number of Girls X $12.

  • Total amount of dues attached $ is the total amount of the deposit you made, not the number of adult registrations X $12.

  • Other: Enter the number of girls receiving Council Cares, if any followed by a -CC, (example: 2-CC for two girls)

  • Position: Volunteer/Leader - Fill it in completely, don't leave blank or just put your name.

Q. What do I do with my registrations once they are complete?
A. Double check all of your forms to ensure they are completely filled in. This includes emergency contact name and phone, parent signature, and in the lower right hand corner that your troop number, council code and report code are filled in.
  • Be sure you have a completed dues summary.
  • Make sure you have a copy of the deposit slip that has the deposit details stamped on it from the teller.
  • Put all of the above in an envelope and hand it in to the Service Unit Registrar.

Q. Can't I just bring my registrations to Council?
A. No, never bring registrations directly to Council. Always submit them to the Service Unit Registrar.

A. No. You will have to use a blank form.

Q. Why did I receive a package of blank forms to re-register my troop when everyone else got pre-printed forms?
A. If your troop was registered on time (Prior to October 1) you will receive pre-printed forms. If you registered your troop late, you may not receive pre-printed forms because your registrations were not processed in time.

Q. Why did some girls in my troop get pre-printed forms while others didn't?
A. If the registrations were submitted after the October 1st deadline, they may not have been processed in time to receive pre-printed forms.

Q. I had a girl transfer into my troop mid-way through the year? Will I get her pre-printed form?
A. The registrar goes through all of the pre-printed forms and tries to match up all of the girls with the correct troops before they are distributed to the leaders. If you notified the registrar of the transfer, and the girl in question registered with her original troop prior to the October 1st deadline, there is a very good chance you will get a pre-printed form. If you do not, there is no way for us to re-print them so you will have to use a blank form.

Q. What do I do with pre-printed registrations for girls who are not returning to my troop?
A. Please write "NOT RETURNING" and the reason they are not returning (if known) on the form and return it to the registrar with the rest of your troop's registrations.

Q. What happened to the membership cards we used to get?
A. GSUSA had a problem getting the blank plastic cards from the distributor, so we will not be getting membership cards for 2008-2009. The cards are generally not received until February of the following year anyway.
